Officely helps your team plan office days, see who’s working where, book desks, manage office capacity, and get more visibility into hybrid work.
Use this checklist to get your workspace set up in MS Teams.
Step 1: Set up your office
Your office is the location employees book into when they plan an office day.
Go to:
Officely → Home → Settings → Offices → Manage
From here, you can manage:
- Office name and emoji
- Office admins
- Working days
- Booking window
- Floor plan URL
- Office closures
- Neighbourhoods and desks
- Office extras
- Check-ins
- Office broadcast

Note: Office addresses are added when an office is created. Existing office addresses can’t currently be edited directly from MS Teams settings. If you need to update an office address, contact the Officely team.
Step 2: Create neighbourhoods and desks
Neighbourhoods help you organise your office into areas, teams, floors, or desk groups.
You can also use neighbourhood capacity to manage how many employees can book into each area.
Go to:
Settings → Offices → Manage → Neighbourhoods & Desks
From here, you can:
- Add neighbourhoods
- Set desk capacity
- Edit existing neighbourhoods
- Remove neighbourhoods you no longer need

Step 3: Invite your employees
Once your office is ready, invite employees to join Officely.
Go to:
Officely → Add Employees
or:
Settings → Account & Billing → Manage Billing → Manage Users
You can invite employees individually, or use Batch Invite to invite multiple employees at once.
Batch Invite lets you paste a list of names or email addresses, review the matches, and send invites in bulk.

Step 4: Manage working statuses
Working statuses let employees show whether they’re in the office, working from home, away, travelling, or using another status you’ve enabled.
Go to:
Settings → Account & Billing
From here, you can manage which statuses are available to employees.

Step 5: Add office extras
Office Extras let employees add useful extras to their office bookings, such as lunch, parking, equipment, pets, or anything else your team offers.
Go to:
Settings → Offices → Manage → Extras
From here, you can:
- Create extras
- Set availability
- Edit or remove extras

Step 6: Configure check-ins
Check-ins help confirm who actually attended the office after booking.
Go to:
Settings → Offices → Manage → Check-ins
From here, you can:
- Enable check-ins
- Set the check-in reminder time
- Add a custom reminder message
- Automatically cancel bookings if employees don’t check in
- Review check-in status in exports

Step 7: Set up recurring bookings
There are two types of recurring bookings in Officely:
Employee routines
Routines are recurring bookings set by or for individual employees.
Use these when an employee usually comes into the office on the same days each week.

Recurring team bookings
Recurring Team Bookings are managed at team level. They’re useful when a whole team has regular office days.
Go to:
Settings → Teams
From here, you can:
- Create teams
- Add members and managers
- Select preferred neighbourhoods
- Enable recurring team bookings
- Edit or delete teams

Step 8: Turn on Office Broadcast
Office Broadcast sends a regular message showing who is coming into the office.
It helps employees see when colleagues are going in and encourages better office coordination.
Go to:
Settings → Offices → Manage → Broadcast

Step 9: Create office announcements
Announcements let you share updates with employees for specific office days.
Use them for things like:
- Events
- Lunches
- Important notices
- Office changes
- Reminders
Go to the relevant office day and select Post Announcement.

Step 10: Review Insights
Insights help admins understand office attendance, booking patterns, and how employees are using Officely.
Go to:
Officely → Insights
Team managers can also access Insights for their own team members, without needing full office admin permissions.

Step 11: Help employees get started
Once your admin setup is complete, share the employee introduction guide with your team.
