Meeting Rooms by Officely in MS Teams helps your team find and book available rooms from Microsoft Teams.

When Outlook sync is connected, Officely can work with your Microsoft 365 room calendars so availability stays up to date when rooms are booked.

This article answers the most common questions about Outlook sync and room availability in MS Teams.


Does Meeting Rooms work with Outlook?

Yes, Meeting Rooms by Officely for Microsoft Teams can sync with Outlook room calendars.

When Outlook sync is connected, you can import your existing Microsoft 365 room calendars into Officely.

Once connected:

  • bookings made in Outlook can appear in Officely

  • bookings made in Officely can sync back to Outlook

  • room availability stays up to date across both systems

A Microsoft 365 admin will need to approve the connection before Outlook sync can be used.


Why are no rooms showing?

If no rooms appear, check that:

  • your rooms have been created as room resources in Microsoft 365

  • the correct admin consent has been approved

  • the room calendars have been connected or imported into Officely

  • the user setting this up has the right admin permissions

  • the rooms are assigned to the correct office

For Microsoft 365, rooms should be set up in the Microsoft 365 / Exchange Admin Center.


Why does room availability look different in Officely and Outlook?

Room availability depends on the connected Outlook room calendar data.

If availability does not look right, check whether:

  • the booking was made in the connected Outlook room calendar

  • the room is mapped to the correct Officely room

  • Outlook sync is connected

  • the booking has recently changed and needs a moment to update

  • the room is blocked out by another calendar event

In Meeting Rooms by Officely, the calendar refreshes automatically so new bookings and changes can appear without needing to reload the page.


Can I switch how I view room availability?

Yes. In Meeting Rooms by Officely, you can switch between Timeline view and Grid view.

Timeline view shows room availability in a timeline-style layout.

Grid view shows room availability in a calendar-style grid.

If you cannot see Grid view, try opening Meeting Rooms in a wider browser window or full browser tab.


Can I disconnect Outlook sync?

Yes. If you disconnect Outlook sync, existing bookings will remain in Officely, but new bookings will no longer sync with Outlook.


Who needs to approve Outlook sync?

For Microsoft 365 / Outlook sync, a Microsoft 365 admin needs to approve admin consent.

This allows Meeting Rooms by Officely to connect to your Microsoft 365 room calendars.
